Integration with your OwnerRez account

Overview

Connect XenGuide to OwnerRez— a premier PMS— to sync properties and reservations. Once connected, you can enable Auto-Invites so guests receive a secure link to your XenGuide Guest Chat app before arrival.

Step-by-Step: Connect OwnerRez

  1. Create a XenGuide account at https://app.xenguide.com/auth/amplify/register/.
  2. Verify your email using the 6-digit code sent to you.
  3. Create your Organization (usually your business name).
  4. In XenGuide, choose OwnerRez and click Connect.
  5. When redirected to OwnerRez, sign in and click Authorize XenGuide.

After authorization, your OwnerRez data will begin syncing. Initial sync time depends on the number of properties.

Auto-Invites (Recommended)

Auto-Invites automatically deliver a secure Guest Chat link to each guest prior to arrival.

  • Timing: Sent 24 hours before the reservation's check-in time
  • Channel: Email or SMS (based on contact info in OwnerRez)
  • Content: Answers about the property and booking, including door codes when available for their specific booking.
  • No door code yet? The chat will let the guest know it hasn't been generated

Enable Auto-Invites in the OwnerRez integration settings inside XenGuide.

Optional: Send Your Own Guest Chat App Invites via OwnerRez

Insert the guest's secure chat link into any OwnerRez message template using this custom field token:{BXXGINVITE}

This field was created when you started the integration and is populated with a unique secure URL for each booking.

If you have any questions about the property, visit our XenGuide chat assistant {BXXGINVITE}.
XenGuide will answer questions immediately and forward anything it cannot answer to your host for a fast response.

What Data Syncs

  • Webhooks: Used for near-instant updates
  • Property data: Descriptions, amenities, check-in/out instructions, etc. (used to build the assistant’s knowledge)
  • booking data: Guest name, dates, status, and dynamic items like door codes and Wi-Fi passwords (used for invites and accurate answers in chat)

Notes & Tips

  • Large portfolios may take longer on the first sync.
  • Ensure guest email or phone is present in OwnerRez for XenGuide invite delivery.
  • Door codes are only shown to guests when provided for that reservation.

Troubleshooting

  • No invite received: Confirm Auto-Invites are enabled and the guest has valid contact info in OwnerRez.
  • Door code missing: Verify the code exists in OwnerRez for the reservation; otherwise the chat notes it isn't available yet.
